Pay Range:109 - Step 1 = $1,915.62

Under supervision from assigned supervisory or management staff, assists in administering written tests, performance tests, vendor/online exams, and interviews. Provides information and assistance to students, faculty, staff, and the general public.

May receive technical training and work direction from an academic bargaining unit program supervisor, a Sr. Administrative Assistant, Testing Center Specialist, or designee.

 

Minimum Qualifications:

Knowledge of:

• Principles, policies, and practices of test proctoring services.

• Office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and databases.

• Basic principles and techniques used in public relations including methods and techniques of proper receptionist and telephone etiquette.

• Principles and practices of customer service.

• Basic mathematical concepts.

• Work organization principles and practices.

• English usage, grammar, spelling, punctuation, and vocabulary.

• Methods and techniques of cashiering and bookkeeping.

• Principles and procedures of financial record keeping and reporting.

 

Ability to:

• Provide exceptional customer service and public relations with the community, instructors, and students.

• Maintain and promote a professional testing center atmosphere for all candidates.

• Maintain cooperative relationships with all testing candidates and center staff.

• Pass proctor exams required by the testing vendors.

• Follow oral and written instructions.

• Enforce examination rules and procedures.

• Follow the policies and procedures for registration of testing candidates required by test vendors and the college.

• Follow the policies and procedures for the downloading and proctoring of all tests as required by test vendors and the college.

• Assist all test candidates in a courteous manner.

• Keep records required by test vendors and college for all tests and testing candidates.

• Oversee testing security and ensure compliance by candidates to all security and confidentiality policies and procedures.

• Adhere to all policies regarding personal work scheduling.

• Maintain the cleanliness of all center equipment and furniture.

• Keep inventory of all testing center supplies including all required testing forms.

• Provide information about the testing center to the public, give directions, parking permits, hours.

• Follow all procedures for processing testing center fees.

• Communicate in a timely manner with test vendors and college technology support to report software or computer issues.

• Count and verify money received and corresponding transactions.

• Learn, understand, interpret, and apply general administrative and office policies and procedures.

• Respond to requests and inquiries from students, staff, or the public; effectively present information in person or on the telephone to students, staff or the public.

• Use sound judgment in recognizing scope of authority.

• Type or enter data at a speed necessary for successful job performance.

• Compile and organize data and information.

• Maintain filing systems.

• Plan and organize work to meet schedules and changing deadlines.

• Operate office equipment including computers and supporting word processing, spreadsheet, and database applications.

• Adapt to changing technologies and learn functionality of new equipment and systems.

• Work under steady pressure with frequent interruptions and a high degree of public contact by phone or in person.

• Work with and exhibit sensitivity to and understanding of the varied racial, ethnic, cultural, sexual orientation, academic, socio-economic, and disabled populations of community college students.

• Communicate clearly and concisely, both orally and in writing.

Requirements

Education and Experience Guidelines:

Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying.

 

Education/Training:

• Equivalent to the completion of the twelfth grade.

 

Experience:

One year of general clerical experience preferably involving extensive public contact.

 

License or Certificate:

A valid California driver’s license and proof of insurability may be required to drive a District or personal vehicle to attend meetings or perform other related duties as assigned.
