Position Summary

Provides operational support within the Medical Education Division for the planning, coordinating and implementing of the curriculum at WCM\-Q\.

Job Responsibilities

+ Works closely with course/clerkship directors and/or curriculum specialists to assist with implementation of courses and clerkships related to the curriculum and maintains strict confidentiality and security of all student and faculty\-related information\.

+ Liaises with faculty at WCM\-Q and the staff in the Office of Curriculum and Educational Development \(OCED\) at the NY campus to acquire course materials\. Reviews lectures transferred from WCM as required\.

+ Assists with preparation and distribution of course material including schedules, syllabi, lecture handouts and reading material\. Ensures that course materials are available on\-line to faculty and students timely\. Maintains material on the LMS and CMS\.

+ Liaises with staff and faculty at WCM\-Q, the NY campus, HMC and affiliated sites to prepare schedules and exams\.

+ Assists the course/clerkship directors in contacting and preparing for visiting faculty, including the preparation of detailed visit itineraries\.

+ Assists the course and clerkship directors with creation, publication, and maintenance of the curriculum schedules\.

+ Coordinates logistical requirements to support teaching activities and handling all arrangements related to the activities for courses and clerkships\.

+ Supports activities such as ordering textbooks and other resources, hospital scrubs, books, HMC ID, access to HMC patients medical records, transportation and itineraries for visiting faculty\.

+ Prepares, distributes, and collects student assessment forms\.

+ Compiles student assessment data, including final grade forms and presents this data to course and clerkship directors for their review and approval\.

+ Assists the course and clerkship directors to finalize the grade forms and submits the forms to the Office of the Registrar within the specified time frame, as outlined in the relevant policies\.

+ Assists with populating and maintaining curriculum related information databases for courses and clerkships\.

+ Assists with the management of logistical arrangements and proctoring of both oral and written examinations\. Responsible for the preparation of weekly quiz and other exam material\.

+ Ensures that all SOPs are updated on a regular basis\. Works closely with other team members for quality assurance, paying particular attention to accuracy of grade data entry and processing\.

+ Provides supports for ad\-hoc projects relating to the Division of Medical Education and cross coverage as required\.

+ Coordinates with administrative staff across divisions as required\.

+ Performs other job\-related duties as required\.


+ Bachelor's Degree


5 or more years of administrative experience\.

Related experience in post\-secondary education and/or medical education systems is preferred\.

Knowledge, Skills and Abilities

+ Service\- and team\- oriented with the ability to collaborate and multi\-task in a fast\-paced environment\.

+ Advanced English communication skills, both written and verbal\.

+ Advanced knowledge and experience in MS Word, Excel, Power Point and databases\.

+ Advanced organizational and planning skills are essential\.

+ Ability to work a flexible schedule as required\.

+ Excellent attention to detail and highly accurate\.

+ Flexibility in working hours as required\.

The work is performed in a modern office environment\.

At least 70% of the work is performed sitting at a computer terminal\.
