Position Summary

The Student Services Coordinator is responsible for the smooth running of the Student Employment Program as well as providing support to sponsored students and assisting throughout the financial aid application process\. The incumbent provides services and support for students traveling to meet academic endeavors such as advising on meeting federal regulation of the US Department of Homeland Security and the Department of State, as well as the laws of Qatar, often working to resolve complex or unique queries\. The Student Services Coordinator will also assist with the monitoring of student entry and exit under F\-1 visa status and provide guidance and assistance on US immigration regulations, travel and social concerns\.

Job Responsibilities

+ Has primary responsibility for the Student Employment Program and provides end\-to\-end support from advertising roles to evaluating records for payment\.

+ Liaises with different sponsors to provide requested documentation to support students with sponsorship applications\.

+ Assists in the review and evaluation of financial aid applications\. Acts as the point of contact for financial aid queries and issues\. Tracks financial aid documents and provides follow up\.

+ Coordinates immigration documents and follow\-ups related to students travel for academic and other educational opportunities including I\-20s and F1, J1 visas and any other visas related to other service\-learning trips\.

+ Coordinates the issuance of invoices for students by providing relevant registration statuses and up\-to\-date sponsorship information\.

+ Fosters and maintains strong business relationships with relevant internal and external partners\.

+ Maintains comprehensive immigration database and follow\-ups; maintains up\-to\-date and secure file with copies of student passports, residency cards, health cards and other important immigration documentation in the student information system\.

+ Contributes to the development and maintenance of the Student Affairs Office policies and procedures manual, ensuring compliance and consistency in own area of operations\.

+ Provides administrative support as required\.

+ Creates, maintains and updates the enrollment records for Foundation and Premedical Students; Updates and maintains the biography, registration details, class ranks and promotion notes records for all the students\.

+ Acts as backup for the Assistant Registrar\.


+ Bachelor's Degree


4 or more years related administrative experience\.

Previous recruitment experience or experience coordinating a student placement program\.

Proficiency in Arabic \(written and verbal\) an advantage\.

Knowledge, Skills and Abilities

+ Strong knowledge of Qatar and US Immigration laws and regulations\.

+ Advanced verbal written and English communication presentation skills\.

+ Strong business relationship management skills\.

+ Previously demonstrated ability to work effectively with diverse populations and cultures\.

+ Advanced proficiency in MS Suite of products including Word, Excel and PowerPoint\.
