Job Details

Position Summary

Responsible for the administrative, financial and operational management of the department\. This role also assists with the promotion of departmental services provided\.

Job Responsibilities

+ Develops strategies and workflows to improve overall operational performance and presents action plans to resolve issues\.

+ Assists with the development and implementation of policies and procedures\.

+ Monitors levels of quality of service as measured by satisfaction surveys, customer comments and direct observation\. Recommends strategies that are responsive to quality of service needs\.

+ Assists in the preparation of the annual budget submission and projections\.

+ Oversees and/or approves procurement and disbursement/reimbursement activities\. Ensures proper internal controls are in place around financial transactions\. Resolves any financial issues as needed\.

+ Manages key updates for the departmental emergency plans and readiness exercises\. Tests plans regularly and as needed\.

+ Develops & coordinates promotional materials/resources to promote departmental activities\.

+ Writes articles, solicits articles/ideas from senior management, copy edits and formats materials to ensure consistent standard of quality, grammar and professionalism; distributes materials as needed\.

+ Provides administrative and technical support to the departmental training team\. Prepares class registration, schedules and creates no\-show invoices for this group\.

+ Manages sub\-contractors workflow of expansion and renovation projects\. Creates budgets for expansion projects, including renovations of existing space\. Recommends space solutions\.

+ Participates in the interview process to screen potential candidates and makes hiring decisions\.

+ Assists with training staff in departmental policies and procedures and systems\.

+ Monitors and maintains employee time record keeping and payroll issues

+ Makes recommendations for promotions and salary increases\.

+ Coordinates the onboarding of new staff and orients them to departmental policies and procedures\.

+ Performs other related duties as assigned\.


+ Bachelor's Degree in related field


Approximately 2 years of related office and project management experience, preferably in an academic healthcare or research setting\.

Significant related experience can substitute for formal education\.

Knowledge, Skills and Abilities

+ Proficiency in MS Office Suite \(including Excel\), PowerPoint, Visio, and Publisher\. Strong computer skills and with an ability to independently use electronic means wherever possible \(filing, meetings, communications, publications, etc\.\)

+ Highly service\-oriented and have excellent interpersonal, written and oral communication skills\.

+ Demonstrated writing composition with excellent grammar and editing skills\.

+ Demonstrated organizational skills; capable of working independently and as a team member\. Ability to handle multiple assignments

+ Ability to supervise and motivate staff and develop performance measures to maximize productivity and work quality\.
