Position Summary



The Senior Administrative Assistant provides senior level administrative and secretarial support and is responsible for a wide variety of tasks and projects that will require a high degree of professionalism and use of judgment\. The incumbent will work fairly autonomously, be able to problem\-solve and handle ad\-hoc business requests as required and ensure high standards of confidentiality to safeguard sensitive information\.



Job Responsibilities



+ Provides senior level administrative and secretarial support and other divisional activities as required\.

+ Coordinates appointments, group meetings and conference calls\.

+ Maintains the electronic calendar and schedules appointments\. Manages the office files, orders stationary, photocopies, faxes and other tasks such as screening, logging and prioritizing incoming telephone calls, mail and email\.

+ As required, compiles and distributes agendas and materials and records and transcribes minutes of meetings\.

+ Provides support for initiating the travel arrangements relating to education and business leave\.

+ As required, initiates shopping carts ensuring compliance with WCM\-Q financial policies and procedures\.

+ Prepares itineraries and coordinates the arrangements for ad hoc visitors\.

+ Assists with the development of the SOPs and policies and procedures, including seeking out information to inform best practice\.

+ Assists with the development and maintenance of a divisional electronic filing system, and a records retention database\. Co\-ordinates processing of leave requests\.

+ Assists with the completion of expense claim reimbursement and other forms\.

+ Liaises with the staff in the division and with external stakeholders as required\.

+ Maintains strict confidentiality and security of division related information\.

+ As required, provides cross\-coverage for other team members within the division\.

+ Performs other job\-related duties as required\.



Education



+ Bachelor's Degree



Experience



BA/BS or equivalent combination of education and experience\.



4 or more years secretarial administrative experience\.



Demonstrated experience handling information of a confidential and/or sensitive nature



Knowledge, Skills and Abilities



+ Excellent interpersonal skills, verbal, written and communication skills\.

+ Strong organizational and time management skills to manage multiple projects simultaneously\.

+ Ability to work independently and as part of a team, self\-motivated, adaptable, and possessing a positive attitude\.

+ Creative thinker and problem solver; ability to think critically\.

+ Detail oriented\.

+ Demonstrated proficiency with MS Office Suite and database applications\.

+ Prior experiences working in a diverse, cross\-cultural environment\.

Weill Cornell Medical College in Qatar was established in 2001 as a partnership between Cornell University and Qatar



Foundation\. The first medical school in Qatar and a pioneer of coeducation at university level, WCM\-Q offers an integrated program of pre\-medical and medical studies leading to the Cornell University M\.D\. degree\. Teaching is by Cornell and Weill Cornell faculty, including physicians at Hamad Medical Corporation \(HMC\) who hold Weill Cornell appointments\.



Enrollment has grown rapidly from 25 first year pre\-medical students in fall 2002 to over 200 students from more than 30 countries as we entered our sixth year of operation in September 2007\.
