Position Summary







Under supervision, provides operational, financial and administrative support to the NYC Elder Abuse Center\.







Job Responsibilities







+ Provides programmatic support such as developing brochures and outreach materials, writing programmatic reports for funders and assisting with the implementation of community\-based events\.



+ Initiates and prepares written correspondence as needed & based on functional needs\. Examples include drafting thank you notes to Center donors, text for event advertisements & email correspondence with a wide range of Center collaborators & colleagues\.



+ Actively participates as a member on the Centers Social Media Initiative\. Examples include drafting blogs for posting, editing blogs and/or creating graphics/ videos to be distributed via the Centers social media platforms\.



+ Serves as point person for Center's website updates\. Responds to inquires that come through the website\.



+ Coordinates the Centers Summer Internship Program\. Facilitates recruiting & onboarding, supervises interns & assists them with their related readings\. Plans, schedules & develops curriculum, ensuring equipment, materials & resources are available\.



+ Coordinates room reservations for meetings and conferences\. Provides on\-site support, including assistance with audiovisual equipment set up and refreshments, as needed\.



+ Coordinates calendars and schedules appointments and meetings\. Prioritizes requests for meetings and coordinates the necessary arrangements\. Prepares materials for meetings and/or trainings as needed\.



+ Answers phones, responds to inquiries and triages calls to appropriate personnel\. Examples include serving as the Centers main phone line point person, which generates calls from a wide range of callers\.



+ Responsible for travel and conference arrangements\. Organizes itinerary, makes appropriate reservations for travel and accommodations\.



+ Records and distributes minutes for a wide range of meetings, which includes staff meetings, event planning meetings and/or finance meetings\.



+ Responsible for procurement activities related to goods, services, and/or equipment as needed\. Examples include facilitating the execution of consultant contracts, processing and tracking invoices and tracking and processing other Center expenses\.



+ Responsible for disbursement/reimbursement activities as needed\.



+ Maintains inventory of supplies and/or equipment\. May order supplies/equipment as authorized or ensure that needs are escalated appropriately\. Receives supply orders and confirms accuracy of delivery\. May assist with cost control\.



+ Ensures that facilities and equipment are in optimal and proper working condition\. Coordinates preventative maintenance and repairs as needed\. May perform minor repairs if qualified and as needed\. May advise on upgrades for performance enhancements\.



+ Represents NYCEAC at community meetings, as needed\.



+ Performs other related responsibilities as assigned, including conducting literature reviews for articles, journal clubs and other academic endeavors\.







Education







+ High School Diploma







Experience







College degree is preferred\.







Approximately 2 years of prior administrative support experience\.







This position requires past experience with a wide range of writing related activities\.







The person who fills this role must possess strong writing skills as many people in the Center will depend on them for drafting Center correspondence\.







Knowledge, Skills and Abilities







+ Excellent communication skills \(both verbal and written\)\.



+ Demonstrated organizational skills and ability to pay close attention to detail\.



+ Ability to multi\-task and self\-prioritize work\.
