Position Summary

Provides management and supervision of the day\-to\-day operational, financial, and administrative activities of the Clinical Neurophysiology/Epilepsy Center, as well as supervision of the Center's support staff\. This role also serves as a liaison with the in\-house marketing team, may work with outside vendors, to assist with the Center's productivity and visibility\.

Job Responsibilities

+ Oversees day\-to\-day operations; monitors scheduling of visits/procedures with goal of maximizing capacity utilization\. Works with Division Chief and senior management to implement task\-based business processes to improve business function\.

+ Supervises the coordination of all activities within the Center with goal of organizing activities so that Center functions at highest level\. Coordinates technical and clinical staff schedules and serves as liaison with various outside vendors\.

+ Serves as liaison across NYP administration including Uptown, NYP Queens, NYP Brooklyn, and NYP LMH to ensure smooth efficient running of NYP\-managed clinical neurophysiology labs\. Advocates for appropriate secretarial support\.

+ Monitors levels of quality of service as measured by satisfaction surveys, customer comments and direct observation\. Recommends strategies that are responsive to quality of service needs\.

+ Ensures compliance with regulatory audits/inspections and/or internal reviews\. Develops and recommends corrective action plans to address deficiencies identified\. May serve as liaison to audit team\(s\) during on\-site visits\.

+ Sets goals and objectives, policies and procedures for all support staff\. Organizes secretarial staff schedules including coordination of sick and vacation time coverage and work assignments to maximize productivity\.

+ Ensures all work areas are adequately covered; makes recommendations for staffing needs; trains employees and monitors overall performance and liaisons with human resources regarding corrective action plans as needed\.

+ Organizes new faculty on boarding, announcements, managed care enrollment, etc\. Creates faculty schedules in EPIC\.

+ Coordinates and implements on\-call communications, distributes schedules; sets\-up and runs answering service interface\. Handles patient complaints and interacts with patient services\.

+ Assists with setting annual operating budget for the overall division, including billing and revenue forecasting, project operating expenses for personnel, fringe, rent, malpractice, etc\.

+ Analyzes financial statements and gathers information on financial performance; reviews statements with Division Chief regularly; makes and implements recommendations for changes in business model to improve financial and/or operational performance\.

+ Implements front\-end policies to aid faculty in being compliant with various meaningful use and other quality measures\.

+ Oversees purchasing activities\. Administers procurement card\. Maintains/updates all purchase/delivery invoices\. Ensures proper internal controls are in place around financial transactions\. Assists with cost control and resolves financial issues as needed\.

+ Maintains up\-to\-date knowledge of essential computer systems, software and/or policies and procedures related to function\(s\) of role\. Serves as a liaison with ITS to coordinate multidisciplinary NYP weekly conference\.

+ Gathers and submits time sheets to administration\.

+ Ensures that facilities and equipment are in optimal and proper working condition\. Coordinates preventative maintenance and repairs as needed\. May perform minor repairs if qualified and as needed\. May advise on upgrades for performance enhancements\.

+ Performs other job related duties as required\.


+ Bachelor's Degree


Masters in Business Administration or MHA preferred; or MBA/MHA bound\.

Approximately 3 years of related health care practice management experience\.

Knowledge of EPIC preferred\.

General knowledge of basic marketing principles is desired\.

Knowledge of, or background in, medical billing/finance and interest to further develop in this field\.

Knowledge, Skills and Abilities

+ Demonstrated leadership skills\. Ability to delegate work effectively and hold others accountable for deliverables\.

+ Knowledge of third party insurance billing policies and procedures, CPT and ICD\-9/10 coding HIPAA and medical compliance standards\.
