Description Position Summary
Under supervision, oversees a wide range of administrative and operational support for the office
Job Responsibilities
+ Responsible for procurement activities related to goods, services, and/or equipment as needed.

+ Responsible for disbursement/reimbursement activities as needed.

+ Maintains inventory of supplies, equipment and/or reagents. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.

+ May need to coordinate calendars and schedule appointments and meetings.

+ Prioritizes requests for meetings and coordinates the necessary arrangements for meetings. Coordinates room reservations and provides on.site support, including assistance with audiovisual equipment setup and refreshments, as needed.

+ Answers phones, responds to inquiries and triages calls to appropriate personnel.

+ May be responsible for travel and conference arrangements. Organizes itinerary, makes appropriate reservations for travel and accommodations.

+ May be responsible for A/V equipment and functionality. Provides training on utilization for meetings and videoconferencing.

+ Ensures that facilities and equipment are in optimal and proper working condition. Coordinates preventative maintenance and repairs as needed.

+ As needed, handles all IT related transactions, access, storage, and reconciles billing monthly.

+ As needed, oversees telephone updates and requests, manages phone deployment tracking services and billing.

+ As needed, responsible for timekeeping entry and maintaining timesheet information.

+ Assists with special projects as assigned

+ Assists with the onboarding of new staff. Liaises with ITS to oversee phone and computer connections for new and relocated faculty/staff.
+ High School Diploma
Approximately 3 years of prior administrative support experience
