Position Summary







Responsible for managing, improving and streamlining the Annual Faculty Review process from the IT\-interface through to the reporting functions\. This role is also responsible for assisting with the improvement of mentorship programs at Weill Cornell Medicine, inclduing the identification of faculty development and resources needed for mentoring\. Additionally, this role processes academic appointments, from initiation to termination, and provides database and administrative support to the Office of Faculty Affairs\.







Job Responsibilities







+ Serves as a liaison with ITS to help develop a seamless portal for collecting the necessary information from faculty as part of the Annual Faculty Review, with the goal to automate as much data as possible to less the burden on individual faculty members\.



+ Operationalizes the annual faculty review process including communications with faculty, chairs, administrative leadership\.



+ Manages and maintains the annual faculty review database and records system, including monitoring on\-going reviews, organizing data and producing reports for senior leadership\. Ensures validity of data\.



+ Provides all necessary training, training materials, and direct assistance to faculty, as needed, to complete reviews and troubleshoot technical problems\.



+ Routinely monitors compliance for each Department, generates and shares reports of progress to Departments biweekly and works with Departmental Administrators to reach 100% compliance\.



+ In conjunction with ITS, provides training for department administrators on using the system with attention to and ownership of necessary enhancements and improvements\.



+ Provides reports to Deans, Administrative Leadership, Departmental Administrators and Chairs on faculty activities recorded in the annual review database\.



+ Provides necessary support to include participation in faculty development activities so data entry is automated quarterly\.



+ Contributes to the development of mentor\-mentee relationships; operationalizes reports on mentor\-mentee matrices from the Annual Faculty Review database including metrics on effectiveness\.



+ Works towards full integration of existing data from other information systems to provide summary reports for faculty seeking evidence of contribution and participation in their promotion process\.



+ Verifies and assesses completeness of mentor and mentee reporting in Annual Reviews\.



+ Processes appointment recommendations for all levels of faculty and non\-faculty appointments, reappointments, promotions, changes in title, leaves and terminations for assigned Weill Cornell Medicine departments\.



+ Processes requests for evaluation of recommendations for senior faculty appointments and promotions for assigned Weill Cornell Medicine departments\.



+ Reviews documents, curriculum vitae and all components of the recommendation or evaluation dossiers for adherence to standards, completeness, accuracy and appropriateness\. Resolves any problems with dossiers\.



+ Utilizes the Academic Staff Handbook to instruct and advise current or prospective faculty and non\-faculty members, as well as academic departments, in the preparation of appropriate documents for evaluations and appointments\.



+ Coordinates the solicitation of recommendation letters from evaluators received on behalf of prospective senior faculty candidates\. Tracks responses to ensure timely processing of evaluation requests and ensuing recommendations\.



+ Facilitates the receipt of appointment documents\. Follows up with departmental contacts after appointment review\. Resolves outstanding issues to ensure timely processing of approval\. Keeps abreast of changes in appointment processes and policies\.



+ In an advisory capacity, accurately answers routine and complex inquiries about academic appointment procedures and policies, in particular about the evaluation process\. Refers difficult questions to the Faculty Affairs Director or Assistant Dean\.



+ Manages and coordinates academic staff, non\-faculty and faculty leave of absence and sabbatical requests for assigned departments\.



+ Maintains faculty demographic, professional and appointment information\. Monitors the progress of an appointment through the OFA system\. Maintains appointment updates, extensions, or terminations as needed\. Keeps abreast of changes in database design\.



+ Routinely prints pending work reports to track and manage workflow for optimal processing efficiency\. Assists in analyzing faculty data in support of preparation of both scheduled and non\-scheduled reports for various outside agencies and college offices\.



+ Prepares all relevant correspondence pertaining to appointments; e\.g\., appointment confirmation letters, termination confirmation letters, and manages the flow of such correspondence; prepares and maintains lists of faculty appointment information\.



+ Facilitates the business relationships of the Office of Faculty Affairs with Weill Cornell academic departments and other functional business units\.

+ Bachelor's Degree







Experience







Approximately 3\-4 years of related work experience\.







Knowledge, Skills and Abilities







+ Demonstrated ability to coordinate a large data set with accuracy and provide timely dissemination of information arising from it\.



+ Must be attentive to detail with a high degree of accuracy\.



+ Excellent communication skills \(both verbal and written\)\.



+ Must possess outstanding customer service skills\. Compassionate, courteous, and helpful phone manner\. Must be able to maintain a tactful demeanor while handling a continuous stream of high volume phone inquiries



+ Demonstrated organizational skills; capable of working independently and as a team member\.



+ Demonstrated proficiency with MS Office Suite and database applications\.
