Position Summary

Under guidance, provides administrative support services for initiatives aimed at evaluating the quality and patient safety performance of clinical care

Job Responsibilities

+ Maintains inventory of supplies, equipment and/or reagents\. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately\. Receives supply orders and confirms accuracy of delivery\. May assist with cost control\.

+ Provides stakeholders with the status updates, issues, key activities and any changes to the scope of the overall project\.

+ Coordinates calendars and schedules appointments and meetings\. Prioritizes requests for meetings and coordinates the necessary arrangements for meetings\.

+ Serves as an escalation point for project team members to ensure that the team remains focused on project plans and timelines\. Provides guidance on design, engineering, troubleshooting and technical decisions as needed\.

+ Initiates and prepares written correspondence as needed and based on functional needs\.

+ Develops, maintains and updates all systems related to documenting and tracking projects, issues and change management\.

+ Answers phones, responds to inquiries and triages calls to appropriate personnel\.

+ Responsible for the coordination of meetings, including finalization of the agenda and completion of meeting minutes\.

+ Responsible for procurement activities related to goods, services, and/or equipment as needed\.

+ Provides administrative support during the discovery/chartering efforts at the beginning of each project\.

+ Schedules and coordinates logistics of committee meetings, including invites, conference rooms, meeting materials, AV equipment and minutes\.

+ Assists with preparation of PowerPoint presentations\.

+ Coordinates travel and hotel arrangements for faculty; prepares, submits and tracks travel/business expense reimbursements\.

+ Collects and maintains data used to measure current quality and patient safety performance\.

+ Provides data to physicians for quality assurance reviews and tracks completion of QA reviews\. Routes completed QA reviews to appropriate individuals\. Scans and files completed reviews accordingly\.

+ Asssists with the coordination, communication and distribution of quality assurance materials between various institutional constituents\.

+ Keeps abreast of updates or changes to quality and patient safety regulatory requirements\. Researches materials as needed\.

+ Sets project management timelines and manages stakeholder expectations, proactively resolving conflict to successfully meet project timelines and deliverables\.


+ High School Diploma


Bachelor's degree preferred

Approximately 2 years of experience in a related administrative role

Knowledge, Skills and Abilities

+ Familiarity with Microsoft Excel, PowerPoint, Publisher and Endnote is highly desired\.
