Position Summary



The Research Operations Team supports WCM\-Qs Research Labs reach the Divisions goal to establish a state of the art biomedical research program focused on tackling the most pressing health needs in Qatar and the region\. The Business Administrator role is a support role within the Research Operations team\. The incumbent is responsible for the provision of administrative services across a wide variety of tasks and projects that will require a high degree of professionalism and use of judgment\. They will be expected to work fairly autonomously, and be able to problem\-solve and handle ad hoc business requests as required\.



Job Responsibilities



+ Approves purchases in the finance system for allocated labs in compliance with approved processes and monitors through to completion, liaising with the lab and procurement team as required\.

+ Generates and distributes regular and ad\-hoc reports on purchasing activities\. Maintains the itemization of non\-personnel expenses for the relevant grants within allocated labs\.

+ Sets up and maintains accounts master data\.

+ Performs change requests approved by the Assistant Director, updates the relevant departments accordingly, and requests changes to existing sub award purchase orders when required\.

+ Reviews and processes subaward invoices ensuring the payment is made in a timely manner\.

+ Sets up and updates approved personnel cost distribution\.

+ Performs account review and financial report review in compliance with approved processes\.

+ Maintains leave details for the divisions academic employees, including reviewing, approving and updating leave requests for all academic lab staff in accordance with college leave policies\.

+ Coordinates the visitor and volunteer activities for allocated labs\.

+ Approves travel requests for staff from allocated labs based on college policy and grant sponsors requirement\.

+ Reviews expense reimbursements of staff from allocated labs in accordance with college policies and sponsors rules\.

+ Contributes to ongoing and ad hoc projects, reviewing or improving the Research Operations team processes and supporting the mission of the division\.



Education



+ Bachelor's Degree in related field



Experience



Degree qualification in Finance, Commerce, or Accounting, or an equivalent combination of education and experience of four or more years prior experience in a similar administrative department\.



Prior experience with SAP or similar accounting software desirable\.



Prior working experience in a research/educational environment an advantage\.



Knowledge, Skills and Abilities



+ Ability to adapt within a rapidly changing environment\.

+ Previously demonstrated moderate level communication, interpersonal and multi\-tasking ability in a results oriented environment\.

+ Previously demonstrated advanced level fluency in the English language, written and verbal\.

+ Prior experience working in a cross\-cultural environment\.

+ Previously demonstrated moderate level skills with Microsoft office products; including word processing, presentation software and spreadsheets\.

+ Previously demonstrated moderate level organizational, administrative and interpersonal skills\.

+ Previously demonstrated ability to work independently and safeguard confidential information\.
