Position Summary

Under the leadership of the Director, Education Administration, the Assistant Director, Education Administration plays an integral role in the administrative infrastructure to support the education missions of the WCM\-Q academic divisions\. Primary responsibilities include operational management of divisional projects and events, development and review of operational policies, fiscal planning and management, overseeing the NBME exam administration, faculty leave management, managing the process for annual awards, data compilation, review and analysis, and representing the academic divisions on projects which have an impact on central college workflow processes, functions and resources\.

Job Responsibilities

+ Manages the annual budget cycle for both academic divisions, and works with senior divisional leadership and sub\-units to prepare fund projections\. Prepares and distributes bi\-monthly expenditure and projection reports for all funds\.

+ Follows\-up on budget and expenditure issues for resolution\.

+ Prepares remuneration packages for visiting faculty and consultants and assists the central budget office in reviewing and processing agreements and payments\.

+ Monitors and evaluates fiscal processes and procedures and makes recommendations for improvement\. Designated first\-line budget approver for purchases, travel and expense reimbursement claims\.

+ Ensures compliance with WCM\-Qs financial policies and procedures, providing appropriate guidance to faculty and staff\.

+ Leads and develops the Medical Education administrative team, providing guidance on work distribution and processes\. Conducts performance appraisals, mentoring, training and staff recruitment\.

+ Develops and maintains data banks for information related to education resources and teaching faculty \(WCM and affiliated\)\.

+ Supports education management projects by providing statistical information and reports as required\. Contributes to data collection and analysis for internal and external requests\.

+ Develops and manages the on\-line Academic Leave Management System\. Reviews requests, and provides recommendations to academic deans\.

+ Guides team with regard to the leave policies and their application and provides confidential leave reports to divisional leadership\.

+ Acts as WCM\-Q school account administrator for National Board of Medical Examiners \(NBME\)\.

+ Manages the web\-exam testing portal, self\-assessments, score\-reports and other related data\. Acts as primary liaison with faculty and staff for the development and administration of customized exams\.

+ Maintains current knowledge and disseminates information related to NBME policies and procedures, and also develops divisional SOPs for exam administration\.

+ Manages the faculty and student awards administration process\.

+ Manages the tabulation of award results for review by divisional leadership\. Communicates with awardees, and follows\-up on the process for honorarium payments as required\. Maintains the central awards records for internal and external use\.

+ Leads and oversees numerous internal and external events and activities in consultation with Deans, Directors, staff and external vendors\.

+ Oversees divisional arrangements relating to arrival of new faculty\.

+ Develops, reviews and updates policies and procedures and SOPs, in consultation with the Director, Education Administration and relevant stakeholders to ensure best practice\.

+ Ensures processes are in place to maintain strict confidentiality and security of all faculty and student data\.

+ Provides support for special projects and performs other administrative duties as assigned\.


+ Bachelor's Degree


+ Master's in an educational leadership or management program preferable\.

+ Minimum of 5 years of supervisory and administrative management experience\.

+ 3 or more years within an educational or healthcare organization/institution is preferred\.

+ Strong financial management and accounting experience essential\.

+ Strong analytical and communication skills as well as strong presentation, leadership and team\-building skills\.

+ Strong organizational, time management and multi\- tasking skills and the ability to meet deadlines in a busy, high\-paced environment\.

+ Excellent interpersonal skills and demonstrated negotiation skills\.

+ Demonstrated problem solving skills\.

+ Ability to act with a high degree of personal integrity, and adapt to the climate and culture of the campus\.

+ Ability to work with a broad and diverse campus community\.

+ Ability to produce high level reports for internal and external stakeholders\.

+ Advanced proficiency in MS Suite of products including Word, Excel and PowerPoint\.

Weill Cornell Medical College in Qatar was established in 2001 as a partnership between Cornell University and Qatar

Foundation\. The first medical school in Qatar and a pioneer of coeducation at university level, WCM\-Q offers an integrated program of pre\-medical and medical studies leading to the Cornell University M\.D\. degree\. Teaching is by Cornell and Weill Cornell faculty, including physicians at Hamad Medical Corporation \(HMC\) who hold Weill Cornell appointments\.
